This policy explains what data BizMatchBiz collects, why, and the choices you have.
What we collect
Account details (name, email), the organisation and business information you provide, and usage activity needed to operate matching, responses, and outcomes.
We do not sell your personal data.
How we use it
To run the service: generating matches, delivering notifications you have opted into, and maintaining an audit trail of key actions.
AI processing
Some features send your content to an AI provider to be read: briefs and documents you upload, your profile and evidence text, and the requirements in an opportunity you are responding to. Direct contact details are redacted before content is sent.
AI output is always a suggestion. Nothing is published, sent, submitted, or decided on your behalf by an AI feature — a person on your side accepts, edits, or rejects it first.
We keep structured records of AI activity (which capability ran, when, how long it took, how much text it read) for auditability. We do not retain the prompts or the model's replies as operational logs beyond a short troubleshooting window.
If an AI-influenced result about your organisation looks wrong, you can ask for a person to review it from the screen where the result appears.
Who else processes your data
We use a small number of subprocessors to run the service: a cloud hosting and database provider, an email delivery provider, a payment provider, an AI model provider, and — only where a visitor has accepted analytics cookies — Google Analytics.
Our AI provider is used on a paid tier, which is the tier whose terms exclude using submitted content to train their models. We are completing the documentation of that provider's retention period and subprocessor list, and this section will name them before any customer cohort relies on it.
Cookies and analytics
Strictly necessary cookies keep you signed in, remember the cookie choice you made, and record your device's timezone so dates and deadlines display in your local time. These are set for everyone — the service cannot run without them.
With your consent, and only then, we use Google Analytics to understand which parts of the product are used. It sets cookies whose names begin with _ga, and receives the page you visited plus standard technical details such as approximate location, device and browser. It does not receive what you type: search terms, filter values and the contents of your briefs and responses are not sent to it.
Until you accept analytics cookies, no analytics script is loaded at all. You can change your mind at any time from “Cookie preferences” at the foot of the page. Withdrawing stops the collection and clears the analytics cookies from your device.
Your choices
You can edit your organisation's information, manage notification preferences, and request an export or deletion of your data from the admin area.
Some records may be retained where required by law or to resolve disputes.
